Conference Invitation Letter (Visa Letter) Request Process
Invitation letters will only be issued to
Authors, Speakers, Presenters, and/or Organizing Committee members.
Attendees who have paid the required registration fees.
Not from the countries embargoed by the U.S. Treasury Department's Office of Foreign Assets Control.
Invitation letters will state only the facts
Conference title, dates, and location.
Confirmation of the requester’s paid registration fee (subject to verification of payment clearance).
Role in the conference (e.g., committee member, speaker, or presenter).

Steps to Request an Invitation Letter:
For Authors only: (This supports authors who have registered)
Log in to the EDAS Paper Submission System and complete your registration.
Navigate to the "My papers" page.
Click the "Create visa letter for author" icon in the "Visa letter" column of your Accepted paper.
Fill in the required personal details.
Click the "Request visa letter" to generate your invitation letter.
For Regular Participants only: (This supports non-author participants who have registered)
Confirm your full name is correct in the EDAS System;
Send an email to confs AT ServicesSociety.org with the following details:
Full name, Street address, City, Postal code, Province or State, Country
Once your email is received and processed, the invitation letter will be sent to you as soon as possible.
Advance Program
The Advance Program for the conference will be made available online approximately one week after the submission of all camera-ready manuscripts.
Advance program provides detailed information on the schedule, including session timings, presentation slots, and the assigned presenters.
Authors and participants are encouraged to review the program promptly to ensure your participation aligns with the scheduled times:
Presenter Confirmation: Ensure that at least one presenter is assigned to attend the conference on-site and deliver your presentation during the allocated session.
In Case of Unavailability: If you or your presenter cannot attend the scheduled session, please contact the conference organizers immediately to make alternative arrangements.

Recommendations for Authors and Participants:
Conference Venue: The conference will be held at the designated hotel. We strongly recommend booking accommodations at this location for convenience.
Special Conference Rate: The organizing committee typically negotiates a special rate for conference attendees. Please refer to the hotel page for details on discounted rates and booking instructions.

Presentation Guidelines
We aim to provide flexibility while ensuring a seamless conference experience. Below are the guidelines for preparing and uploading your presentation materials.
Slide Preparation:
There is no mandatory slide format, so you are free to choose a style that suits you best.
Ensure the slides are clear, professional, and suitable for your presentation.
Presenters are recommended to upload their slides to the EDAS system in advance for convenience and the deadline is 10 days before the conference start date.
On-Site Presentation Policy
All presenters are required to attend and present their papers On-Site at the conference venue.
Special Requests:
If you cannot attend on-site due to exceptional circumstances, you MUST email the organizing committee at confs AT ServicesSociety DOT org with an official explanation.
The email must be sent no later than 30 days before the conference start date.
The organizing committee will evaluate your request and decide on the presentation format.
Approved online presentations will require the submission of a pre-recorded video to be played during the scheduled session.
Late submissions may result in technical challenges or exclusion from the advance program.
Consequences of No-Show
Failure to present your paper without prior notification may have significant consequences:
Your paper may be removed from the conference proceedings.
Your future submissions to this or other conferences may be excluded from consideration.
Please ensure you notify the organizers well in advance if you are unable to present.
File Upload Guidelines for Approved Online Presentations (Only)
To ensure smooth session management, you MUST upload the following materials to the EDAS system before the deadline (10 days before the conference starts):
Presentation Video
File Type: MP4
Upload Location: "Video" on EDAS
Presentation Slides
File Type: PPT or PDF
Upload Location: "Presentation" on EDAS
To help prepare the video, we have prepared the step-by-step tutorial in the linked document. The presentation video should meet the following requirements:
Duration: 20 minutes for author presentation or 45-60 minutes for keynote speaking
Language: English only
File Type: MP4 only
File Size: Less than 1GB (or smaller is recommended)
Video Resolution: 1920 x 1080
Presenter Window Resolution: 640 x 360
Presenter Window Location: bottom-right
Frame Rate: 30 fps
Video bitrate: 3500 Kbps
Audio bitrate: 256 Kbps
Recommended Video Recording Tools:
OBS Studio: A free and open-source software for video recording and live streaming.
Request a Certificate of Presentation
The conference organization committee will issue a Certificate of Presentation under the following conditions:
The presenter of the paper must have completed a full registration.
The presenter must attend and present the paper on-site at the conference.
For approved online presentations, the presenter must demonstrate attendance during the scheduled online session.
Request Submission:
Please send an email to confs AT servicessociety DOT org with the following details:
Paper ID in EDAS.
Paper Title.
Full Name of the Presenter.
For online presenters, include the exact time of your online presentation and a screenshot or photo as proof of your attendance during the conference.
Important Notes:
Certificates will only be issued after verifying the presenter's participation in the conference.
Requests without the required details or proof of attendance (for online presentations) will not be processed.
